What Should You Agree Before a Landscaping Crew Arrives?

A well-prepared project starts with more than a material delivery. Before landscaping or pool construction begins, agree how the team will access your property, who will answer questions and how everyday household routines will work around the construction area.

Name your contact and confirm the first working day

Know who is coordinating the work and how to reach them. Confirm the expected start arrangements, who will attend and how changes will be communicated. Weather, deliveries and site findings can affect a programme, so ask how updates will reach you rather than assuming every day will follow the original plan.

Walk through access together

Identify the entrance the crew should use, equipment routes, parking and delivery locations. Discuss any permission needed for adjoining access before work starts. Agree whether anyone needs to enter the home, and for what purpose. Share access codes only with the authorized contact and agree how they will be handled.

Identify what must be protected

Point out plants, garden ornaments, outdoor furniture, existing finishes and other items that matter to you. Decide what you will move and what the contractor will protect under the scope. Photographs taken before work can provide a useful shared record of existing conditions, particularly along equipment routes.

Plan household movement around the work

Keep children and pets outside active construction areas. Discuss gates, temporary boundaries and a practical route for entering and leaving the home. Do not assume an unfinished area is suitable to walk through after the crew leaves; ask your contact which areas remain restricted.

Agree delivery, storage and end-of-day arrangements

Know where materials and equipment will be placed and which areas need to remain clear. Discuss waste storage and access for deliveries. Ask who checks gates and boundaries at the end of the working day and how household members will be told about changes.

Keep changes and concerns clear

Route requests through the project contact so instructions do not conflict. Ask for changes in scope, price or timing to be documented and approved before the changed work proceeds. Raise concerns about conduct or access promptly, describing what occurred and where, rather than trying to resolve a disagreement directly with a crew member.

A short pre-start checklist

  • Project contact and update method confirmed.
  • Authorized access, parking and delivery routes agreed.
  • Items to move, retain or protect identified.
  • Household routes and arrangements for children and pets discussed.
  • Material storage and end-of-day responsibilities agreed.
  • Process for changes and concerns understood.
